Documents: give the AI Assistant your team's standards and templates

Add templates, standards, policies and runbooks to your organization's library so the AI Assistant can use them in every conversation.

Written by Engineering Swantide

Documents is your organization's library of reference material for the AI Assistant. Add your standards, templates, policies, runbooks and field mappings once, and the Assistant can draw on them in every conversation, alongside your org's metadata.

When to use it

  • You have a template your team uses for solution designs, test plans or statements of work, and you want deliverables written to it

  • You have build standards or naming conventions, and you want to check your org against them

  • You have policies, runbooks or process guides your team asks questions about

  • You have a field mapping or integration inventory you want the Assistant to use when it plans work

Documents are shared across your organization and stay available in every conversation. For a file you only need in one conversation, use an attachment instead.

Add a document

  1. Click Documents under Knowledge in the left navigation.

  2. Click Add document.

  3. Choose your file. The title defaults to the file name, and you can change it.

  4. Add a short description, then click Upload.

The document shows as ready once it has been processed, usually in under a minute. Supported file types are PDF, Word (.docx), plain text (.txt), CSV and Markdown (.md), up to 25 MB each.

Save a Deep Dive document to your library

A document the AI Assistant wrote for you, such as a health assessment or a solution design, can be added to your library so it informs future conversations.

  1. Click Artifacts under Agent History.

  2. Click the ⋮ menu on the document's row and choose Promote to Document.

  3. Check the title, add a description, and click Promote.

Promoting saves a copy of the document as it is now. Later changes to the original stay in Artifacts. Promote works for documents in PDF, Word, CSV, text or Markdown format, so when you plan to keep a Deep Dive document, ask for it as a PDF or Word file.

How the AI Assistant uses your documents

When a question relates to something in your library, the Assistant searches your documents along with your org's metadata, and usually tells you which document it drew on. You can:

  • Ask a question that a policy or runbook answers

  • Combine several documents into one deliverable, such as a migration approach built from your migration plan, field mapping and security policy

  • Check your org against a document, such as your naming standards, and get a list of what needs to change

  • Have a deliverable written to your own template

Using a template

To have a deliverable follow one of your templates, say so in the prompt. Use my template is enough: the Assistant finds the right one for the kind of document you asked for, follows its sections and fields, and returns the file in the same format as the template.

"Write a solution design for this user story. Use my template. As a sales manager, I want opportunities over $100,000 to require a Next Step before they can move to the Negotiation stage, so that large deals always have a clear plan."

Sample prompts

"What's our data retention policy for closed opportunities, cases and inactive leads?"

"Which external systems integrate with our Salesforce, in which direction, and how often does each one sync?"

"Draft a migration approach for moving our legacy CRM data into Salesforce. Use our data migration plan, our legacy field mapping and our security policy, and check the target fields against the org."

"Check our active Opportunity validation rules against our build standards document. Which ones break our naming rule, and which break our error message rule?"

"Write a UAT test plan for this user story. Use my template. [paste your user story]"

Manage your library

  • Click a document's title to see its summary. Use Edit summary to change it, and Edit details to change the title or description.

  • To remove a document, choose Delete document from its ⋮ menu. Deleted documents are no longer used in answers.

Tips

  • Name files clearly. A title like Solution Design Template or Data Retention Policy helps the Assistant pick the right document.

  • Mention the document when it matters. For a template, or when you want one specific document used, name it in your prompt.

  • Use text-based files. Documents are read as text. For a scanned PDF, upload a version with selectable text.

  • Keep your library current. When a policy or template changes, upload the new version and delete the old one.
