Duplicate Management in Swantide

This article walks you through how to keep your data clean and your environment streamlined using the data maintenance feature in Swantide.

Swantide uses a robust duplicate flagging system to scan your environment and check for duplicates in your data on a daily basis. For best practice processes, we recommend "Cleaning your room" by checking the Swantide App for dupes on a weekly to bi-weekly basis.

To do so, navigate to Data and then Click "maintenance" (https://app.swantide.com/data). From here, you can toggle to different Users who own the duplicate Accounts or filter on All Users.

In the example below, we will leave the filter to All users and Click "Review."

From here, you can check out the flagged records as well as click the Record Name to be taken directly to the Salesforce link if additional context is needed. Once you decide that the records are, in fact, duplicates, simply click "Set as master & merge" on the record that you would like to be the master record.

From there, the records will automatically be combined and the master record data will take precedent. Whichever owner is listed on the master record will remain the Owner on the newly merged Record. The merge edits may take a few minutes to load in your Salesforce, but should be visible almost immediately.

FAQ:

I found two records in Salesforce that aren't showing up as duplicates in the Swantide App, what do I do?

  • Although our duplicate flagging tools are much more robust than native Salesforce duplicate rules, sometimes dupes still fall through the cracks. This should only happen if no website url is filled out, since there is no way for rules to tell unless there is website information on the records.

    • In this case, please also let your Customer Success Manager know that you have duplicates that aren't showing up and share 1) the Record Links and 2) Which Record should be the master. This will help us improve our Algorithm!

Merge Any Records in Swantide:

You can also use Swantide's merge any records functionality to merge duplicate accounts that are not identified in the app, by taking the following steps:

  1. Click the "Manage" button on the object where the record exists (example: Accounts)

  2. Click the "Merge other Accounts" button and input the master and associated record information to merge these records in SFDC
